It’s 11 p.m., and you’re staring at your computer screen, cursor blinking in a Claude window. You’ve got a manuscript due tomorrow, and there’s a section that’s just...confusing. The author’s argument is tangled, and you’re not sure if the problem is unclear language, a logical flaw, or both. You could spend another hour untangling it yourself, or you could paste it into the AI and see what it spits back.

Your fingers hover over the keyboard.

Is this okay? Is this ethical? What would my client think? What do I think?

If you’ve had this moment—or one like it—you’re not alone. The question of whether and how to use AI ethically in editorial work is one of the most pressing conversations in our profession right now. And there are no perfect answers. But that doesn’t mean we get to throw our hands in the air and do whatever feels convenient.

This isn’t just about whether AI “works” or whether it can technically do a task. It’s about whether we can use these tools in ways that align with our professional values, serve our clients well, and feel right when we look ourselves in the mirror.

What Makes AI Use Ethical? (And What Doesn’t)

When I talk to editors about AI ethics, the conversation often starts with, “Is it okay to use AI at all?” But the better question is, “Under what circumstances is AI use ethical, and how do I know the difference?”

There are three pillars that should guide your thinking about ethical AI use:

  • Transparency with clients. Your clients deserve to know when and how AI touches their work. This doesn’t mean you need to send a dissertation about your workflow, but it does mean being upfront about the tools you’re using and giving clients the opportunity to opt out if they’re uncomfortable.
  • Respect for intellectual property (IP). This includes both the IP that went into training the AI (more on this in a minute) and your clients’ IP. If you’re feeding proprietary manuscripts or confidential business documents into an AI that saves and learns from that data, you’ve got a problem.
  • Quality and accuracy standards. Using AI to make your work faster is one thing. Using it to make your work sloppier is another. If AI is degrading the quality of your editorial judgment or leading you to make errors you wouldn’t have made otherwise, that’s a huge red flag.

Here’s where it gets tricky: Not everything falls neatly into “clearly ethical” or “clearly unethical” categories. There’s a very murky middle ground where reasonable people disagree.

Using AI to brainstorm headline options? Probably fine. Using AI to copyedit a full manuscript and passing that off as your own work with minimal review? Definitely not fine. Using AI to help you understand a complex technical passage before you edit it? That’s somewhere in between, and your answer might be different from mine.

The key is developing your own ethical framework rather than just going with whatever feels easiest in the moment. And “everyone else is doing it” has never been a solid ethical foundation.

The Copyright Conundrum

Most major AI models were trained on copyrighted material that was scraped without permission or compensation to creators. This includes books, articles, blog posts, forums, and, yes, probably some of the very manuscripts you’ve edited over the years.

Companies like OpenAI, Meta, and Anthropic didn’t go to authors and publishers and say, “Hey, can we use your life’s work to build our multi-billion-dollar product?” They found databases of books and fed them into their models. The technical term for this is “training data.” The blunt term is theft.

Now, some of this is being sorted out in court. In September 2025, Anthropic (the company behind Claude) settled a class action lawsuit for $1.5 billion after a judge ruled that using pirated books for training was not fair use. That’s billion with a B—a number that tells you exactly how valuable they considered that stolen material.

Other cases are still winding through the courts. The legal landscape is shifting, but the ethical question remains: When we use these tools, are we complicit in that original theft?

I don’t have a definitive answer for you. Some editors have decided they can’t ethically use any AI tools trained on copyrighted material, which currently rules out all the major players. Others have concluded that while the training was problematic, the tools exist now, and using them doesn’t make the original harm worse. Still others are waiting to see how the legal battles shake out before making a firm decision.

What I can tell you is this: Being informed about how these tools were created is part of your ethical responsibility. You can’t make an ethical choice if you’re deliberately not looking at the uncomfortable parts.

Client Consent and Confidentiality

Here’s a scenario that worries me to no end: An editor pastes a confidential business manuscript into ChatGPT to help restructure an argument. The editor doesn’t realize that ChatGPT saves their inputs for training purposes. Now that client’s proprietary business strategy is potentially part of ChatGPT’s training data.

The editor didn’t mean to violate the client’s confidentiality. They probably didn’t even realize they were doing it. But now they’ve made a big mistake that could even have legal repercussions.

Every AI tool has different data retention and privacy policies. Some, like ChatGPT Team and Claude for Work, offer business-tier subscriptions that don’t train on your data. Others, like the free versions of most AI tools, explicitly state that they may use your inputs for training. Some are vague about it. Some have different user-selected options for different types of accounts. 

Before you paste a single word of client work into any AI tool, your job is to understand exactly what happens to that data. And if you’re working under an NDA or a contract that specifies confidentiality, you need to make sure you’re not violating it by using AI.

Quality Control

Let's talk about something that comes up often in freelance editors' discussions about AI ethics: quality.

When you use AI for editorial work, you’re making a trade-off. Maybe that trade-off is worth it—maybe using AI to summarize a heady technical document gives you more time to focus on the copyedit that really needs your human brain. But if you’re using AI to do work you’re not actually qualified to do yourself, or if you’re trusting AI-generated edits without thoroughly reviewing them, you’re harming your clients.

Consider what can go wrong. For example, one editor I know experimented with AI to copyedit dialogue in a novel, and the AI "corrected" the deliberately grammatically incorrect speech patterns that were essential to the character's voice. Another editor asked AI to fact-check a historical timeline, and the AI confidently cited sources that don't exist. That same editor then let AI "tighten up" a technical passage, and the AI changed the meaning in subtle ways that only someone with subject matter expertise would catch. Luckily, these editors spotted the problems and fixed them—but they had to spend extra time undoing the AI tool’s work, negating any efficiency gains.

The real risk is that not every editor catches these errors. In each case, the editor thought they were saving time. In each case, without careful review, the quality of the work would have suffered. And if these editors had sent off the final work without fixing these issues, the client would have paid for human editorial expertise and received something less than that.

Your professional responsibility isn’t just to deliver work on time; it’s to deliver work that meets the quality standards you’ve promised. If AI is helping you do that, great. If it’s becoming a crutch that’s degrading your work, that’s a real problem.

Environmental Impact: The Elephant in the (Server) Room

AI has a massive environmental footprint. If you've spent any time in editorial forums or social media groups over the past few years, you know this comes up every time someone mentions AI. (And for good reason.)

Training a single large language model can use as much electricity as 120 U.S. homes use in a year. And training is just the beginning. Every time someone uses an AI model—whether that's asking ChatGPT to write an email or using Claude to brainstorm ideas—the hardware performing those operations consumes energy. A single ChatGPT query uses roughly five times more electricity than a standard web search. When you're talking billions of queries across millions of users, that adds up fast.

The AI companies’ response to the growing energy demands has been mixed. While some are working on efficiency improvements (newer Claude models use fewer tokens), the industry is simultaneously building more data centers and making massive investments in nuclear energy. Any efficiency gains are likely being outpaced by the sheer scale of AI deployment.

I’m not saying you need to swear off AI for environmental reasons (though some editors are). But I am saying it’s worth being aware of the impact and factoring it into your decisions. Do you really need to ask Claude to brainstorm 50 headline options when 10 would do? Should you regenerate that response five times to get slightly different wording, or can you edit the first version yourself? Do you need AI to summarize a two-page article you could read in three minutes? Is using AI to rewrite an email signature really adding enough value to justify the environmental cost?

These might seem like small considerations, but they’re part of the larger ethical picture.

The Expertise Paradox: Why You Need Hardwired Editorial Skills Before Using AI

Here’s something that freelance editors aren’t talking about enough: You can’t evaluate AI output unless you already have the expertise that AI is supposedly helping you with.

This creates a genuine paradox. AI can produce material that looks polished and credible, but assessing whether that material is actually any good requires the exact skills that using AI tempts you to skip building in the first place.

Think about it this way: If you use AI to help copyedit a manuscript before you’ve developed strong copyediting skills yourself, how will you know if the AI’s suggestions are improvements or if they’re subtly changing meaning, flattening voice, citing the wrong style manual guideline, or introducing factual errors? You won’t. If you don’t engage enough with the work (ideally with minimal software tools at first) to build your own skills, you won’t be able to tell when AI gets things wrong—and you’ll end up accepting bad output without realizing it.

This is why the idea that AI will “democratize” editing by making it accessible to people without training is fundamentally flawed. AI doesn’t replace expertise—it requires it. The better you are at your craft, the better you can use AI as a tool. The less skilled you are, the more likely AI is to lead you astray without you even realizing it.

For editors, this means a few things.

First, if you’re still building your skills, do not rely on AI. Use it as sparingly as possible, use it with heavy oversight, and always prioritize developing your own judgment first. Think of AI as training wheels you can add later, not as a replacement for learning to ride the bike.

Second, if you’re an experienced editor, recognize that your expertise is what makes AI potentially useful to you. You can spot when AI has misunderstood context, missed nuance, or suggested changes that would harm the work. That’s a skill, and it’s priceless.

And third, remember that expertise doesn’t happen quickly. There are no shortcuts. If a client is hiring you for your editorial judgment, they’re paying for the years you spent developing that judgment—not for your ability to paste their work into ChatGPT and copy whatever comes back.

Creating Your Own Ethical AI Framework

Okay, we’ve covered a lot of potentially overwhelming territory. Let’s bring it back to something practical: creating your own ethical framework for AI use.

This isn’t about following someone else’s rules. It’s about defining what ethical AI use looks like for your business, your clients, and your values. Here’s a checklist to help you think through the key considerations.

Checklist: Ethical AI for Freelance Editors

Before I adopt any AI tool:

☐ I have researched how the tool was trained and whether it used copyrighted materials without permission.

☐ I understand the tool’s data retention and privacy policies.

☐ I have determined whether using it would violate any client NDAs or contracts.

☐ I have identified which tasks are appropriate for AI assistance vs. those requiring my human judgment.

☐ I have created a disclosure policy for clients (when and how I’ll inform them).

For each use of AI in my work:

☐ I have verified that I have the right to submit the client’s content to this tool.

☐ I have made sure that I’m adding sufficient human expertise and judgment.

☐ I have fact-checked any AI-generated suggestions before implementing them.

☐ I have considered whether this use serves my client’s best interests.

Ongoing evaluation:

☐ I review and update my AI policy regularly as this technology evolves.

☐ I am doing my best to stay informed about legal and environmental developments concerning AI.

☐ I have assessed whether my AI use aligns with my professional values.

☐ I have monitored the quality of my work to ensure that my use of AI is enhancing, not diminishing it.

This checklist isn’t exhaustive, and you should add or remove items based on your specific situation. The point is to approach AI use with intention rather than just convenience.

When to Say No to AI

Sometimes the answer is simply no. Here are some situations where AI use is clearly unethical, regardless of what the law says or what other editors are doing:

  • When the client has explicitly said no. If a client asks you not to use AI on their project, that’s the end of the conversation. Full stop.
  • When using AI could put your client at risk of violating publication guidelines. If a client is submitting work to an academic journal, grant program, or publisher with explicit policies against AI-generated content, using AI in your editing process could jeopardize their submission—even if your use seems minor or innocent. You could get their work rejected or retracted.
  • When using AI would violate an NDA or confidentiality agreement. This one’s clear enough, but make sure to read your contract and any other signed agreements very closely. (Even your own contract’s confidentiality clause may be restricting you from using AI on a client project, since AI tools count as third parties.)
  • When you don’t understand the AI tool well enough to use it responsibly. If you can’t explain how a tool works, how it was trained, and what happens to the data you feed it, you’re not ready to use it on client work.
  • When it feels wrong. Sometimes your gut knows something your brain is still trying to rationalize. Pay attention to that feeling. Don’t push past it.

Moving Forward with Intention

The AI landscape is confusing, the ethics are murky, and you’ve got deadlines to meet. It would be so much easier if someone could just hand you a list of approved tools and forbidden practices and call it a day. I get it!

But that’s not how ethics work. Ethics require ongoing thought, evaluation, and sometimes uncomfortable self-reflection. They require admitting when we don’t know the right answer and being willing to change our minds when we learn new information.

You don’t have to be perfect. You don’t have to have all the answers figured out right now. What you do need is to approach these decisions with intention and integrity.

Think of your ethical stance as a potential business differentiator. While some editors are racing to automate everything they can, you can position yourself as an editor who thinks carefully about when and how to use AI, prioritizes quality and transparency, and treats client confidentiality as sacred. Those aren't small things. In a market increasingly flooded with AI-generated content and “editors” who are really just AI wranglers, your commitment to ethical practice is valuable.

This conversation isn’t over. The technology will keep evolving, the legal landscape will keep shifting, and our professional norms will keep adapting. Your job is to stay engaged with these conversations, keep questioning your own practices, and be willing to adjust your approach as you learn more.
